Privacy Policy

How Motivus collects, uses and protects your personal information under the Protection of Personal Information Act, 2013 (POPIA).

1. Who we are

Motivus prepares firearm licence motivations under the Firearms Control Act 60 of 2000. In doing so we act as the responsible party (as defined in POPIA) for the personal information you provide through this portal. Our Information Officer, Max Rossle, is responsible for lawful processing and for upholding your rights as a data subject.

2. Information we collect

To prepare and verify your motivation we collect the information you enter into your profile and applications, including your full name, South African identity number, residential address, contact details, province, competency certificate number and status, details of the firearms you hold and apply for, association or dedicated-status memberships, and the supporting documents you upload (identity documents, competency certificates, safe photographs and membership certificates).

3. How we use it

Your information is used solely to draft your motivation, to allow a legal practitioner to review, verify and sign it, to compile your application pack, and to manage the licence lifecycle (such as renewal reminders). We do not sell your information or use it for unrelated marketing.

4. Special-personal and identity information

Your identity number and other high-sensitivity fields are treated with heightened protection. They are stored with additional field-level encryption, are never displayed back to you once saved, and are never reproduced in the text of your drafted motivation.

5. Where your information is stored

All personal information is stored in South Africa (the Johannesburg region) to honour data-residency expectations under POPIA. Access is restricted to the practitioner and authorised personnel who need it to prepare and verify your application.

6. Sharing

We share your information only as necessary to deliver the service - for example, with the reviewing legal practitioner, and, at your direction, with the South African Police Service or an accredited association as part of your application. We do not disclose your information to third parties for any other purpose without your consent, unless required by law.

7. Retention

We store your personal information for the duration of 2 years after the fulfilment or completion of the mandate, after which all electronic copies of documentation in our possession relating to your personal information are permanently destroyed or deleted, alternatively de-identified of any unique identifiers pertaining to you. We may keep information for longer only where a legal or regulatory obligation requires it.

8. Your rights

You have the right to access the personal information we hold about you, to request correction or deletion, to object to processing, and to lodge a complaint with the Information Regulator. To exercise any of these rights, contact our Information Officer.
